Tradeshow and Events Manager

Crawford Group (www.crawfordgroup.com) is seeking an experienced Trade Show & Events Manager located in one of these areas, San Antonio, Orlando or Las Vegas to support the planning and execution of brand presence at multiple major industry conferences across the U.S. and internationally in 2027.

This is a part-time contract role (~600 total hours across the engagement).

This role supports a technology brand focused on engaging IT decision makers across K–12, Higher Education, Healthcare, and Enterprise environments. Experience working within these verticals — particularly at events targeting IT leadership — is highly preferred.

What You’ll Do:

Develop detailed event plans and comprehensive timelines.Lead weekly meetings and track action items, deadlines, and risk alerts.Build event strategies aligned to engaging IT decision makers in Education, Healthcare, and Enterprise sectors.Create production schedules (load-in/load-out, vendors, ancillary events).Gather and provide creative ideas for booth engagement, design and other ancillary experiences or events that resonate with technical audiences.Manage monthly budget tracking and deliver final reconciled reports.Coordinate small room blocks, booth staff registrations, and venue-provided services.Oversee booth plans/proofs and secure approvals (10'x10', 10’x20’ and 20’x40’ booths).Track shipments and proactively manage logistics risks.Configure lead retrieval devices and support data capture strategy.Prepare detailed hand-off documentation for internal event owners.Ensure cross-functional stakeholders are fully briefed and prepared for each event, including event goals, key messaging, roles, expectations, and on-site responsibilities.Manage on-site load-in, event and strike, including all vendor coordination.Support potential ancillary events (i.e. breakfasts or happy hours) and/or speaking engagements (i.e. panels).Deliver post-event recap with recommendations for future improvements.Ensure cross-functional stakeholders are fully briefed and prepared for each event, including event goals, key messaging, roles, expectations, and on-site responsibilities.Events include major U.S. and international conferences attracting IT leaders and technology buyers.

You Should Have:

3+ years of trade show and conference management experience.Experience supporting B2B and/or Public Sector technology events and audiences, particularly IT decision makers, is preferred.Proven experience managing booth builds (10'x10' and larger footprints).Ability to adapt quickly to shifting priorities, last-minute changes, and evolving event needs in a calm and positive manner.Strong vendor and production coordination experience.Be a proactive communicator who identifies risks, dependencies, and timeline impacts early.Budget management and reconciliation expertise.Experience supporting domestic and international events.Strong understanding of B2B technology event environments.Exceptional organizational skills and attention to detail.Ability to manage variable workloads and peak event seasons.Willingness and ability to travel.

Hours: Part-Time, variable weekly work hours (0-40/week).

Location: Remote, Anywhere in the US; ideally San Antonio, Orlando, or Las Vegas.

Rate: $45.00-$50.00 per hour as an W-2 consultant of Crawford Group; benefits available if eligible (Our hourly ranges are determined based on skills, experience and location)
