The Venue Concierge is responsible for venue bookings, client relationship management, event planning, and day of venue coordination. The ideal candidate is passionate about weddings, excels in sales and customer service, is highly organized and detail oriented, and is committed to creating an unforgettable experience for every couple. Conduct personalized venue tours for prospective clients, showcasing the property and guiding them through the booking process.Prepare and present client proposals, contracts, and invoices with accuracy and attention to detail.Consistently achieve individual and team sales goals while delivering an exceptional client experience.Build strong relationships with prospective clients and confidently present venue services to maximize sales opportunities.Stay knowledgeable on venue offerings, policies, pricing, catering, and beverage services to confidently answer client questions and make recommendations.Serve as the primary point of contact for clients throughout the planning process, providing exceptional customer service and timely communication.Lead client planning meetings to gather event details and logistics, and proactively identify potential gaps or missing details by thoughtfully evaluating every aspect of the event to ensure a seamless and fully prepared experience.Coordinate with in-house culinary and beverage teams to communicate event details, menu selections, beverage packages, timelines, and special requests.Manage and coordinate the venue's in-house beverage service program, including educating clients on package options and recommending the best fit for their event.Collaborate with vendors to obtain required certificates of insurance, signed vendor agreements, and any additional documentation required by venue policies.Ensure all event documentation, contracts, vendor information, and client details are complete and organized before each event.Coordinate with multiple internal departments to ensure all event logistics are communicated and executed seamlessly.Proactively identify and resolve planning issues while maintaining a high level of professionalism and client satisfaction.Maintain accurate client records and update CRM and event management systems throughout the planning process.Respond promptly to phone calls, emails, text messages, and online inquiries while maintaining a high level of professionalism and customer service.Go above and beyond to create an exceptional planning experience by anticipating client needs, providing thoughtful solutions, and delivering service that exceeds expectations.
