Summary
This part-time position directly reports to the Director of Event and Conference Center, and requires an
individual who can multi-task and whose diverse duties range from administrative
support to event planning, conference services, facilities use, scheduling and related
assistance.
Essential Role Responsibilities
· Serves as the point of contact in the absence of the Director
· Assists with contract management from first contact to completion including but not limited to identifying room availability, calculating applicable fees using approved College facility rental and service rates, providing user with an external facilities use application and all related documents, tracking, subsequent submission of the completed paperwork to Director for review and approval, etc.
· Submits all external scheduling requests
· Responds to space availability inquiries related to event planning, conference services, and facilities use
· Handles billing requests to Finance (Both first billing of deposits to Final invoicing)
· Submits “Event Details” notices to the Dept. of Public Safety, and all depts. offering services or support
· Places Work orders to various support departments for required services
· Maintains College Calendar of External Events
· Subsequent maintenance of all related files (both paper and electronic)
· Maintains information needed for departmental reporting of utilization/revenue information
· Performs other related duties as required.
Minimum Education Required
Experience Required
Ability to communicate effectively, both verbally and in writing. Excellent attention to detail
and problem-solving skills. Excellent customer service skills serving both internal and
external contacts. Ability to prioritize and effectively handle a multitude of concurrent tasks
and duties. Ability to maintain strict confidentiality. Proficient in Word, Excel and
Outlook. Regular attendance is a requirement of this job. Performs all duties while
considering the impact of any actions on the college’s sustainability initiatives in the
areas of environmental stewardship, social responsibility, and economic prosperity.
Minimum and Preferred Qualifications
Physical Demand Summary
· Office Environment working 8:30 a.m. – 5:00 p.m.
· Occasional need to work in off hours (primarily on a weekend) due to external facilities use activity.
