We’re looking for a driven, organized, and people-focused Event Coordinator to help us grow our group business and deliver exceptional experiences from first inquiry to final execution.
Position Overview
This role is a blend of sales, coordination, and execution. You will be the main point of contact for clients—guiding them through the booking process, helping them choose the right experience, closing the sale, and ensuring their event runs seamlessly.

Key Responsibilities
Client Communication & Sales
Respond to inbound inquiries (phone, email, online) in a timely and professional mannerConsult with clients to recommend the best event packages and experiencesBuild proposals, close bookings, and process paymentsFollow up with leads to drive conversions and maximize bookingsEvent Coordination
Plan and organize all details of booked eventsMaintain accurate event schedules, notes, and client preferencesEnsure all waivers, payments, and requirements are completed prior to eventEvent Execution
Oversee events onsite to ensure a smooth and high-quality guest experienceAct as the main point of contact for clients during their visitTroubleshoot issues quickly and professionallyOversee events offsite to ensure tabling events represent the company wellTeam Collaboration
Coordinate closely with the armory (range) team and restaurant/bar teamCommunicate event timelines, group needs, and special requestsEnsure all departments are aligned for flawless executionAdministrative & Operational Support
Maintain CRM/event tracking systemsAssist with reporting, scheduling, and process improvementsSupport marketing initiatives related to group events when neededWhat We’re Looking For

Duties
Collaborate with clients and stakeholders to understand event objectives, themes, and requirementsDevelop comprehensive event plans, including timelines, budgets, and resource allocationNegotiate contractsCoordinate all logistical aspects including venue setup, catering arrangements, audiovisual needs, and guest accommodationsOversee event marketing efforts to promote attendance and engagement through various channelsManage onsite event operations to ensure smooth execution, including guest services and troubleshooting issues as they ariseUpsell additional services or packages to enhance event offerings and maximize revenue opportunitiesManage offsite event operations, including staffing, necessary supplies, etc.Maintain detailed records of contracts, budgets, and vendor contacts for future referenceSkills
