Job Summary

B&M Catering Company is looking for a highly organized and detail-oriented Event Coordinator Assistant to support our Event Coordinators and help ensure the smooth planning and execution of events. This role is ideal for someone who enjoys behind-the-scenes coordination, administrative tasks, and being part of a fast-paced hospitality team.

Responsibilities
• Provide administrative support to Event Coordinators throughout the planning process
• Assist with creating and updating event proposals, menus, and client documents
• Enter and maintain accurate event details in CRM/event planning software
• Track guest counts, timelines, and event logistics
• Help manage client communications, including follow-ups and confirmations
• Organize event files, contracts, and internal documentation
• Coordinate with kitchen and operations teams to ensure accurate event details
• Assist with preparing materials for tastings and client meetings
• Support event execution as needed

Qualifications
• 1–3 years of administrative, hospitality, or event-related experience preferred
• Strong organizational and time management skills
• High attention to detail and accuracy
• Excellent written and verbal communication skills
• Comfortable working with multiple projects and deadlines
• Experience with Total Party Planner or similar software is a plus
• Proficient in Microsoft Office/Google Workspace
• Team player with a positive, can-do attitude
