Event Coordinator/Admin

This role is the backbone of NCAEC's operations, managing 13+ annual events, supporting our apprenticeship program, and ensuring smooth daily office operations. Plan, coordinate, and execute all aspects of events from concept to completionSecure venues, negotiate contracts, and manage vendor relationshipsCoordinate event logistics including registration, catering, equipment, and suppliesManage event budgets and track expensesOversee event marketing and member communicationsHandle on-site event management and troubleshootingProcess registrations and manage attendee listsConduct post-event evaluations and reportingApprenticeship Program Support (20%) Serve as primary point of contact for member inquiriesManage daily office operations and correspondenceMaintain filing systems (physical and digital)Prepare reports, presentations, and documentationProcess invoices, expense reports, and vendor paymentsMaintain office supplies and equipmentCoordinate internal meetings and communicationsProvide administrative support to leadership teamProcess apprenticeship requests 2+ years of event planning/coordination experience2+ years of administrative or office management experienceProven track record of managing multiple projects simultaneouslyTechnical Skills: Recognized as the go-to expert for all NCAEC eventsEnhanced member experience through improved event qualityOptimized apprentice tracking and reportingIntegral member of the NCAEC team
