Event Management Assistant

The Event Management Assistant plays a vital role in supporting the Event Manager for all events produced or presented by The Civic at the Knight Stage, Goodyear Theater, Lock 3, and the Akron Civic Theatre. DUTIES AND RESPONSIBILITIES – Non-Technical Advance Coordinator: Serve at “Manager on Duty” as assigned for events produced/presented, overseeing all operations areas on event day and, if required, prepare financial settlement following the close of the box office.Responsible for advancing merchandise needs for commercial events as assigned and preparing the house manager for settlement.Responsible for advancing lobby set-ups, including making diagrams for events.Responsible for ordering additional items for set-ups (i.e., contacting Millers) for events.Arrange any police and event security needed for events assigned.Arrange hotel and ground transportation for events assigned.Update Operations calendar prior to staff meetings (obtain information from tech, box office, volunteer coordinator, and event promoter) for events assigned.Arrange and manage walkthroughs with event promoters and in-house staff as required by supervisors for events as assigned.Confirm lobby set up on assigned events is done as advanced on the day of the show.Set up, maintain, and tear down hospitality for bands, maintaining a high level of sanitization and food preparation safety.Negotiate and coordinate hospitality needs and caterers for in-house and rental events assigned.BASIC QUALIFICATIONS: Experience in customer service.Excellent communication skills – in person and on the telephone.Excellent time management skills.Able to negotiate rider requirements based on the budget and show status.Detail-oriented.Able to collaborate and take direction from supervisors and clients.Able to coordinate the work of a variety of employees.Able to learn quickly and adapt to changes.Excellent decision-making skills.Possess a high school diploma or equivalent.PREFERRED QUALIFICATIONS: Pay: $22.00 per hour
