Event Planner/Coordinator

Job Overview

We are seeking an experienced Event Planner/Coordinator to execute events for a Miami-based media company! Responsibilities

Collaborate with clients and stakeholders to understand event objectives, themes, and requirements
Develop comprehensive event plans, including timelines, budgets, vendor coordination, and logistics
Negotiate contracts with venues, caterers, entertainment providers, and other vendors to secure the best terms and services
Oversee all aspects of event marketing and promotion to maximize attendance and engagement
Manage event budgets, ensuring cost-effective solutions while maintaining quality standards
Coordinate catering services, banquet arrangements, and hospitality needs to deliver exceptional guest experiences
Supervise event setup, execution, and breakdown; ensure all elements align with safety standards and client expectations
Provide excellent guest services during events; address issues promptly to maintain a positive atmosphere
Upsell additional services or upgrades to enhance event value and client satisfaction
Maintain clear communication with team members, vendors, clients, and venue staff throughout the planning process

Experience

Proven experience in event planning or coordination within hospitality settings such as hotels, restaurants, or banquet facilities
Strong background in event marketing strategies and promotional activities
Skilled in negotiation with vendors and contract management
Demonstrated ability to manage multiple projects simultaneously with excellent time management skills
Familiarity with budgeting processes and cost control measures for events of varying sizes
Experience in customer service roles within hospitality or related industries such as restaurant or hotel operations
Excellent organizational skills combined with effective communication abilities to coordinate diverse teams and stakeholders
