Event Planning Assistant Benefits & Compensation:

Bachelor’s degree or equivalent professional experience required2+ years of experience in event operations, project management, logistics, or related fieldsExperience supporting large-scale, multi-stakeholder events or campaignsExcellent organizational and time management skillsStrong written and verbal communication skillsFamiliarity coordinating with vendors, partners, and internal teamsProficiency with project management tools and shared documentation platformsEvent Planning Assistant Preferred Background & Skills

Experience working with nonprofit, foundation, or philanthropic organizationsFamiliarity with large civic events, fundraising campaigns, or community activationsBilingual fluency is a plusExperience managing complex run-of-show documents and on-site event logisticsDeep commitment to diversity, equity, and inclusionEvent Planning Assistant Day-to-Day Responsibilities

Manage project plans, timelines, and deliverables for Give Miami Day and other major eventsCoordinate planning meetings, track milestones, and ensure alignment across teamsOversee event logistics such as load-in/out schedules, equipment, signage, staffing, and on-site supportSupport permitting, compliance, safety planning, and risk management processesFacilitate information flow and collaboration across internal teams, vendors, and partnersProvide on-site leadership and problem-solving during live events, ensuring operational excellence
