Event Production Manager

You will manage people and procedures to ensure exceptional experiences, and smooth operations (back of house and front of house), for the benefit of client and staff. As a member of the company's leadership team, this position is responsible for all day-to-day production operations and logistics, ensuring smooth, efficient and safe practices that exceed client expectations for successful events. Salary range for this position is $70,000 to 80, 0000 with monthly, quarterly and yearly bonus opportunity of up to $25,000. • Collaborate with clients, once introduced by salesperson, to ensure their needs and expectations are met before and during their event • Provide comprehensive event leadership at key events, as assigned • Assure Company Service Standards are followed and executed • Assist/support Event Leads assigned to each event with tools and coaching needed to ensure they and their staff produce successful events in accordance with what was sold/expected • Ensure Event Leads are set up for success, which includes pre-meetings to review event-specific expectations including timelines, diagrams, menus, special requests; your attendance is not required at the beginning/middle/end of each event • Work with all outside vendors and Smashing Dishes/Tony Caters subcontractors to ensure alignment and integration for successful event • Optimize all front of house staff for seamless and professional hospitality • Partner with Executive Chef and on-site kitchen leadership to assure on-time, consistent and appealing food and beverage service, and to ensure field kitchen pack list items are requested in a timely manner to ensure their availability at events • As needed, oversee the work of Equipment Manager (larger events) to ensure their success • Adhering to determined Event Budgets • Partner with Sales Department to understand the parameters of each unique event sold and later to communicate any changes needed to proposals based on your subsequent work with client • Meet with company leadership weekly to review past events and preview upcoming calendar • Schedule select post-event debriefs for exceptionally large events produced by Smashing Dishes/ Tony Caters • Review preliminary party rentals needs (Smashing Dishes/Tony Caters inventory and 3rd party rentals) proposed by sales, and coordinate with client as needed to review/expand needs and possibly upgrade • Place/update party rental orders with those companies and coordinate fulfillment • Coordinate with all 3rd party service providers (event planners, DJ, bar vendor, cake, event production/prop, florist etc) in advance of events and onsite to ensure alignment with timelines, equipment needs, and general Smashing Dishes/Tony Caters and client expectations • Manage, catalogue and Expand existing In-house décor packages • Meet with clients, venues and planners (virtually and at site-visits) to finalize details (event timelines, party rental needs, 3rd party vendor coordination, etc) and ensure successful events • Create (or oversee creation of) production sheets (BEO), event site floorplans, food station diagrams, place settings diagrams, event timelines, digital pack lists using catering software (TPP) and other technology tools • Support staffing coordinator to maximize staff resources at events • Determine event décor/props needs for each event and ensure warehouse packs them for shipment • Communicate specific food signage needs for each event to team administrative assistant • Review Event Lead Summaries and follow-up/address issues as needed • Optimize and sometimes develop new documented systems to maximize resources and streamline efficiencies • Supervise warehouse manager, to ensure their successful packing/loading of event supplies, and general facilities/vehicle maintenance • Oversee a small staff of production and operations/warehouse support personnel
