The Events Administrator under the supervision of the QBI Director of Communications and Events to learn professional aspects of event planning and production. Assists in planning and organizing internal and external business-related functions, events sponsored by center grants, workshops, outreach events, symposiums, conferences, social events, banquets, and VIP briefings. This incumbent must also have an understanding of deliverables needed for institutional grants. Tasks/functions/responsibilities: • Plan and organize event activities, including managing logistics such as facilities, audience management activities, caterers, and vendors, facilitation of communication and services with speakers and facility maintenance staff • Provide technical support at meetings and events • Manage virtual events using Zoom • Create and distribute event invitations, event list management, and RSVP tracking and reporting • Create and manage event budgets • Oversee on-site set-up and attendance • Manage virtual events using Zoom • Prepare post-event analysis and reporting • Communicate effectively and efficiently with professional staff about event arrangements • All other duties as assigned or required.
