Position SummaryMagnaWave is seeking a highly organized, proactive, and execution-focused Events Coordinator to support the planning and execution of events across MagnaWave, AuraWell, and VyFy. This is a hands-on execution role designed for someone who enjoys managing details, solving problems quickly, and ensuring events run smoothly from start to finish. This position is not responsible for managing a team—it is responsible for ensuring the work gets done efficiently and professionally. This role must embody MagnaWave’s LOUD Core Values: Listen and LeadOne Team, One MissionUnderstand and OwnDriven and DynamicKey ResponsibilitiesEvent Planning & Logistics CoordinationCoordinate logistics for trade shows, conferences, training events, wellness events, and brand activations across all company brandsManage event registration deadlines, exhibitor forms, contracts, and required documentationCoordinate travel arrangements, hotel accommodations, shipping schedules, and event-related transportationManage booth materials, signage, promotional products, event supplies, and inventoryEnsure all event assets arrive on time and are properly organizedEvent Execution Serve as the primary point person for event logistics before, during, and after eventsAssist with booth setup, breakdown, and onsite event coordination as neededTroubleshoot last-minute issues quickly and professionallyMaintain detailed event timelines and ensure deadlines are metSupport presenters, sales team members, and leadership attending eventsVendor & Partner CoordinationCommunicate with event organizers, venues, vendors, and external partnersSecure quotes and coordinate vendor servicesTrack deliverables and ensure vendors meet deadlines and expectationsCross-Functional CollaborationPartner closely with marketing, sales, education, and operations teams to ensure event readinessCoordinate internal event requests and communicate timelines clearlyEnsure teams have the materials and information needed for successful event participationBudget & Administrative SupportTrack event expenses and assist with budget managementProcess invoices, purchase orders, and event-related expensesMaintain event calendars and organizational systems for upcoming eventsProvide post-event recap reporting including attendance, lead collection, and general event feedbackRequired QualificationsHigh School diploma required, some college is preferred2–5 years of event coordination, event planning, marketing coordination, or related experienceExperience managing multiple projects and deadlines simultaneouslyStrong organizational and time management skillsHigh attention to detail and strong follow-throughExcellent communication and problem-solving abilitiesComfortable working in a fast-paced environment with shifting prioritiesProficiency in Microsoft Office/Google WorkspaceAbility to travel as needed for eventsIdeal Candidate ProfileThe right person for this role is:
