Position SummaryWe are seeking a dependable, energetic, and organized Event Coordinator to support the planning and execution of events at the zoo. This position plays an important role in coordinating event logistics, staff and volunteers, event setup, community participation, and promotional activities.
The ideal candidate enjoys working in a fast-paced environment, is comfortable working outdoors and on their feet, and can communicate effectively with staff, volunteers, vendors, and community partners.
Key ResponsibilitiesOrganize day-to-day event logistics, including setup forms, resource needs, floor plans, supply lists, and task checklists.
Assist with event setup, breakdown, and day-of-event operations.
Schedule, direct, and delegate tasks to on-site staff and volunteers to help ensure events run smoothly and safely.
Recruit, coordinate, and manage participants, community volunteers, and marketing/event interns for special events such as Kids Appreciation Day, Boo at the Zoo, and Zoo Nights & Lights.
Serve as the on-site event contact or lead coordinator when designated by the Events Logistics Manager.
Coordinate with vendors, staff, volunteers, and other departments to address event needs and resolve day-of-event issues.
Assist with inventory, event supplies, equipment, and other logistical needs.
Partner with the Marketing team to promote events across multiple platforms.
Draft and assist with social media content and promotional materials.
Assist with press releases and preparation for TV and radio advertisements.
Assist with media escorts, familiarization (FAM) tours, and on-camera or radio promotional interviews as needed.
Perform other event-related duties as assigned.
Qualifications & Experience1–2 years of hands-on experience preferred in event execution, warehouse/inventory assistance, banquet setup, catering operations, physical venue production, or a related field.
Strong organizational skills and attention to detail.
Ability to work effectively in a fast-paced, team-oriented environment.
Ability to work flexible hours, including evenings, weekends, holidays, and special events.
Ability to stand, walk, lift, carry, and assist with physical event setup and breakdown.
Ability to communicate clearly and professionally with staff, volunteers, vendors, and guests.
Technical SkillsFunctional proficiency with standard office software, including word processing, email, and basic spreadsheet tracking.
Ability to use spreadsheets or other tracking tools for inventory, event supplies, and setup needs.
Familiarity with basic design programs such as Canva is a plus.
Communication & LanguageStrong verbal and written communication skills.
Ability to communicate effectively and respectfully with staff, volunteers, vendors, guests, and community partners.
Bilingual English/Spanish strongly preferred to support diverse team and community interactions.
Driver's License RequirementMust possess a valid driver's license.
Must be able to drive zoo service vehicles and run event-related supply errands throughout the Rio Grande Valley.
Schedule & AvailabilityThis is a full-time position with a flexible event-based schedule. Candidates must be available to work Monday through Sunday, including:
Weekends
Evenings
Holidays
Special events
Occasional early-morning or late-night event operations
Schedules may vary depending on the event calendar and operational needs.
