Events Operations Coordinator

Responsibilities include:Developing floorplansOverseeing set-up/tear-down of eventsProcessing event requestsMaintaining event equipment inventoryOn-site event management, including nights and weekends as necessaryEquipment and Furniture RentalsAssisting in the management of the event scheduling softwareProvide excellent customer service and professionalism when interacting with clients, vendors, and internal partners.Work with the Event Services Manager to ensure the following services are scheduled as needed:Front of House StaffingParking ServicesCustodialSecurity and PoliceFacilitate appropriate communication between clients and other internal service providers including:Orchestra Operations:Stage laborAV and tech supportMarketing:TicketingPrint and digital event collateralDatabase Management (including managing RSVPs)Indulge CateringMenu developmentBar servicesCoordinate with outside vendors for:Load-in requirementsPower requirementsLoad-out requirementsOther duties as assigned by the Director of EventsQUALIFICATION REQUIREMENTS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Extremely strong organizational skills and ability to crisis manage.2+ years of experience in event planning; event set-up/tear-down experience is preferred; independently manage multiple tasks and projects and meet deadlines; ability to communicate effectively with colleagues, internally and externally.LANGUAGE SKILLS: Must have excellent verbal and written communication skills.HOURS: This position will take place primarily between Monday-Friday from 8:30am-5:00pm with flex-time allotted to service nights and weekends as necessary.PHYSICAL DEMANDS: This job requires the ability to lift 50 pounds, climb stairs and stand for extended periods of time.
