The Marketing Assistant – Events & Promotions supports the planning, coordination, and execution of company events, conferences, conventions, and tradeshows, ensuring each is well organized and executed smoothly from concept through completion. This role requires strong organizational skills and attention to detail, with responsibilities spanning event logistics, registration management, travel coordination, marketing support, and administrative execution to ensure well-organized events and consistent marketing operations. Support the planning and execution of company events, conferences, conventions, and tradeshows from concept through completion Ensure timely registration for tradeshows, conferences, and events, meeting all deadlines and requirements Track event details, timelines, budgets, and registration requirements to ensure accurate execution Maintain detailed records for each event, including attendee information, booth details, shipping deadlines, and on-site requirements Assist in maintaining relationships with vendors, partners, and internal teams Support marketing initiatives through coordination and administrative execution Ensure compliance with company policies and applicable safety standards Coordinate with internal teams and vendors to support event requirements and logistics Register the company for tradeshows, conferences, and events in a timely manner, ensuring all forms, payments, and materials are submitted accurately Track all event-related information, including attendee lists, exhibitor details, deadlines, booth specifications, shipping instructions, and on-site requirements Manage travel and lodging arrangements for staff attending events Plan and organize materials and equipment needed for events, including packing lists and shipping logistics Maintain organization of marketing supplies and keep an updated inventory of swag, promotional materials, and technical information Support event logistics such as presentation materials, signage, giveaways, and booth setup Assist with placing advertisements, tracking ad schedules, and reviewing renewal dates to ensure timely updates Help prepare print and promotional materials to advertise company products, services, or events Support on-site event preparation, execution, and breakdown as needed Troubleshoot and assist with resolving issues that arise before or during events Maintain organized records of vendors, event details, registrations, and marketing placements Experience supporting events, marketing initiatives, or administrative coordination Strong organizational, time-management, and multitasking skills High attention to detail and ability to manage multiple deadlines Strong interpersonal and communication skills
