POSITION SUMMARY:
The Marketing Events Intern provides administrative, logistical, and project support to the Events Managers in the planning and execution of Firm-hosted client events, business development programs, receptions, seminars, webinars, attorney luncheons, dinners, and other marketing initiatives. This position assists with event research, preparation, attendee management, vendor coordination, on-site support, and post-event reporting.
The Intern works collaboratively with the Marketing & Business Development team, attorneys, business professionals, and external vendors while gaining practical experience in professional services event planning and marketing. The position requires strong organizational skills, attention to detail, professionalism, and the ability to manage multiple assignments in a fast-paced environment.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Event Planning & Coordination
• Assist the Events Managers with the planning and coordination of Firm-hosted client events and external business development events.
• Conduct venue and vendor research and compile information to support event planning and selection.
• Assist with the development and preparation of event themes, décor, invitations, promotional items, giveaways, nametags, handouts, and other event materials.
• Coordinate event-related services with external vendors under the direction of the Events Managers.
• Assist with event logistics, including venue arrangements, catering, materials, attendee needs, and other event requirements.
• Maintain event information and update Firm and department event calendars as events are scheduled.
• Provide on-site event support as directed by the Events Managers.
• Assist with other event planning and coordination activities as assigned.
Attendee & Event Data Management
• Record, monitor, and update event RSVPs and attendee information using the Firm's marketing automation platform.
• Maintain accurate attendee lists and related event information.
• Assist with preparation of nametags, registration materials, handouts, and other attendee-facing materials.
• Update event information and records throughout the planning process to ensure accurate and current information.
• Compile post-event information, including attendance, costs, notes, and other relevant data.
• Maintain organized electronic event records and supporting documentation.
Webinar & Virtual Event Support
• Assist the Events Managers with planning and coordinating webinars and other virtual programs presented by attorneys and business professionals.
• Support preparation of virtual event materials, attendee information, invitations, and other program-related resources.
• Assist with event setup, testing, and other logistical needs as requested.
• Help maintain accurate records and post-event information for webinars and virtual programs.
Marketing & Administrative Support
• Provide administrative and project support to the Events Managers and Marketing & Business Development team.
• Assist with processing and submitting event-related departmental expenses.
• Prepare spreadsheets, presentations, event materials, and other documents as requested.
• Conduct research and gather information in support of events and other Marketing & Business Development initiatives.
• Assist with organizing event supplies, promotional materials, and other resources.
• Perform data entry and maintain accurate information within applicable marketing systems and files.
Vendor & Team Collaboration
• Communicate professionally with venues, caterers, promotional vendors, and other external service providers as directed by the Events Managers.
• Collaborate with attorneys and business professionals to support event-related requests and activities.
• Build effective working relationships with members of the Marketing & Business Development team and other Firm departments.
• Communicate project status, questions, or potential issues to the Events Managers in a timely manner.
• Provide responsive, professional, and client-service-oriented support to internal and external stakeholders.
• Perform additional duties and special projects as assigned.
QUALIFICATIONS:
• Current college student, or post-graduate student (within two years of graduation).
• Coursework in in Marketing, Communications, Hospitality, Event Management, Business, Public Relations, or a related field required.
• Prior internship, work, volunteer, or academic experience involving event planning, marketing, hospitality, customer service, or related activities preferred.
• Interest in gaining experience in event planning, marketing, business development, or professional services.
• Strong organizational and time management skills with the ability to manage multiple assignments and meet deadlines.
• Strong attention to detail and commitment to accuracy and high-quality work.
• Excellent written, verbal, and interpersonal communication skills.
• Strong customer service orientation with the ability to interact professionally with attorneys, business professionals, vendors, clients, and guests.
• Ability to work independently on assigned tasks while collaborating effectively within a team-oriented environment.
• Ability to adapt to changing priorities and respond effectively to time-sensitive requests.
• Proficiency with Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.
• Familiarity with social media platforms and digital marketing concepts preferred.
• Experience with marketing automation, CRM, or event management technology preferred; DealCloud experience a plus.
• Ability to learn and effectively utilize Firm technology and marketing systems.
• Ability to exercise sound judgment, maintain confidentiality, and appropriately handle sensitive Firm and client information.
• Ability to work occasional additional or adjusted hours to support events and other business needs.
• Ability to travel occasionally to support Firm events, as business needs and the internship schedule permit.
WORK CONDITIONS:
This position operates in a professional office environment with standard office equipment. Occasional overtime may be necessary to support business needs and Firm events.
