Meeting and Events Coordinator

About the Role
As a CBRE Events Coordinator, you will assist the events team in tasks as needed for a successful events experience.

This job is part of the Events job function. Responsibilities include serving as the Concierge Desk lead, which involves billing creation and processing, acting as a guest services liaison for the facility, and providing backup support to building security and mail services/loading dock.

What You’ll Do

Be the first point of contact for all those entering the facility and greet them with a friendly and welcoming demeanor.
Record and log service requests, track their status, and provide administrative aid to the event team as needed.
Deliver world‑class customer service to all individuals in the facility.
Build and maintain a database of local business recommendations, including preferred transportation, dining, and entertainment options.
Follow property‑specific security and emergency procedures and notify the appropriate parties to ensure the safety of all building occupants.
Address inquiries or complaints from clients, co‑workers, and supervisors, providing professional, customer‑service‑driven solutions.
Resolve problems and identify appropriate approaches to existing solutions to accomplish team objectives.
Establish new techniques to help the team meet its objectives.
Have a direct impact on team objectives as well as the objectives of related teams.
Ensure personal and team outcomes positively impact customer objectives.
Lead by example, model behaviors consistent with CBRE RISE values, guide the team through basic knowledge of practices and procedures, and build consensus.
Provide support for meetings and events as needed.
Coordinate guest services with clients, vendors, and team members, covering arrival experience, transportation, signage, displays, special needs requirements, printing, and event security.
Create a hospitable environment for attendees, event owners, and vendors on the day of the event.
Assist with conference room turnover and midday room refresh as needed, taking direction from senior team members.
Respond to event activities such as gathering event supplies, equipment needs, food & beverage services, and facility security.
Organize and track inventory of event supplies, alerting the team when new orders are required.
Escalate potential issues and concerns as appropriate.
Use existing procedures to solve straightforward problems while exercising limited discretion.
Impact own team and other related teams whose work activities are closely connected.
Deliver output by following defined procedures and processes under close supervision and guidance.
Suggest improvements to existing processes and solutions to increase team efficiency.

What You’ll Need

High School Diploma or GED with 2+ years of job‑related experience.
In‑depth understanding of a range of processes, procedures, systems, and concepts within your own job function, with basic knowledge of related functions.
Problem‑solving skills and the capacity to review and select solutions from available options, including the ability to explain complex concepts to the team clearly and concisely.
Advanced knowledge of Microsoft Office products (Word, Excel, Outlook, etc.).
Strong organizational skills and an inquisitive mindset.
Ability to meet the physical requirements of the role, including stooping, standing, walking, climbing stairs, and lifting or carrying heavy loads of 50 lbs. or more.
Ability to follow basic work routines and standards in applying work.
Clear communication skills for exchanging straightforward information.
Working knowledge of Microsoft Office products (Word, Excel, Outlook, etc.).
