We are currently seeking multiple Meeting and Events Coordinators to join our team on either a full-time or part-time basis in a remote work setting, with periodic required travel within Michigan and Ohio, plus occasional national travel. Reporting to the Meeting and Events Manager, this role is pivotal in planning, coordinating, and executing a variety of in-person and virtual events that align with client goals and drive member engagement. Events range from conferences and annual meetings to webinars and networking programs. The ideal candidates are highly organized, energetic, and detail-oriented professionals who thrive in dynamic environments. They enjoy managing multiple logistical components and take pride in producing seamless, engaging, and meaningful event experiences that exceed client expectations.
As a Meeting and Events Coordinator at Kelley Cawthorne, you will collaborate directly with association boards, internal teams, and vendors to ensure all aspects of events are meticulously planned and professionally executed. Your role will encompass developing comprehensive event timelines, budgets, and task lists, as well as coordinating all event logistics including venue selection, catering, audiovisual needs, signage, materials, and transportation. You will manage vendor contracts, nurture sponsor and vendor partnerships, and work alongside marketing and communications staff to effectively promote events through multiple channels. Building and managing event registration systems, tracking attendance, and preparing detailed reports will also be key responsibilities. Support for both in-person and virtual events is essential, including on-site coordination and virtual platform management. Additionally, you will conduct post-event evaluations, gather feedback, and prepare recap reports with actionable recommendations. This position demands a proactive and adaptable approach, excellent communication skills, and a strong commitment to client success and organizational culture.

Bachelors degree in hospitality, event management, nonprofit management, or a related field
Two to three years of experience in event planning or coordination
Experience with or exposure to membership or event management platforms such as Wild Apricot or MemberClicks preferred
Proficiency with Microsoft 365 and virtual meeting platforms
Comfortable learning new technology
Ability to travel periodically by car within Michigan and Ohio and occasional national travel
Ability to attend evening or weekend events as needed
Ability to lift up to 25 lbs for event setup and office support
Prolonged periods of sitting or standing at a desk and working on a computer
Manual dexterity to operate standard office equipment
Must be able to hear and speak clearly to conduct business over phone, video, and in person
