Job Description Position Summary The Operations Manager, Venues and Events will play a critical role in the execution of external-facing events across Vanderbilt's campus. The position will serve as a key operational partner across multiple business units, including West End Tower, Conferences & Events, Catering & Events, and external athletic events. Event Operations & ExecutionLead end-to-end operational planning and execution for external events across Vanderbilt venuesOversee event setup and teardown, ensuring timelines, layouts, and standards are metPartner with internal stakeholders to deliver high-quality, revenue-generating eventsServe as on-site operations lead for assigned events, troubleshooting in real timeAudiovisual (AV) OversightManage AV planning and execution for events, including coordination with internal teams and external vendorsEnsure proper equipment setup, testing, and on-site functionalityAct as the primary point of contact for all AV-related needs during eventsVendor & Partner ManagementCoordinate with third-party vendors including production, rentals, AV, and other service providersEnsure vendors meet Vanderbilt standards, timelines, and contractual obligationsSupport sourcing and building a preferred vendor networkStaff LeadershipRecruit, train, schedule, and supervise a team of part-time event staffProvide clear direction and accountability to ensure operational excellenceFoster a culture of communication, professionalism, and responsivenessCross-Functional SupportSupport operational needs for:o West End Tower (hotel operations and event activations) o Conferences & Events (external conferences and programs) o Catering & Events (internal and external catering activations) o Athletic facility rentals and external sporting eventsCollaborate across departments to ensure a unified and consistent client experienceQualifications5 years of experience in event operations, venue management, or related fieldA bachelor's degree from an accredited institution of higher education is necessary.Strong knowledge of event logistics, production, and AV systemsExperience managing vendors and part-time or hourly staffAbility to manage multiple events and priorities in a fast-paced environmentStrong problem-solving skills and attention to detailExcellent communication and interpersonal skillsPreferred QualificationsExperience in university, sports, or large-scale venue environmentsFamiliarity with athletic facility operations and event productionWorking knowledge of AV systems, production workflows, and event technologyKey CompetenciesOperational excellence and attention to detailStrong communication, accountability, and transparencyAbility to lead teams and execute under pressureCollaborative mindset across multiple stakeholdersRequired Skills Audio-Visual Technology - VUConferences Services - VUEvent Catering - VUEvent Management - VUEvent Marketing - VUEvent Planning - VUProgram Evaluation - VUPublic Relations - VUVendor Management - VU About Us At Vanderbilt University , our work - regardless of title or role - is in service to an important and noble mission in which every member of our community serves in advancing knowledge and transforming lives on a daily basis.
