Private Event Manager

Position Overview

Must Have a minimum of 5 year in Luxury Hotel or F&B experience

The Private Event Manager is responsible for planning, coordinating, and executing all private events within the club, ensuring a seamless and elevated experience that reflects the club’s luxury standards. This role requires exceptional attention to detail, strong communication skills, and the ability to deliver outstanding service to members and their guests. The Private Event Manager works closely with the culinary, service, and operations teams to ensure flawless execution of all events.

Key Responsibilities

Event Planning & Coordination

Serve as the primary point of contact for members and clients planning private events.
Conduct detailed event consultations to understand objectives, preferences, and expectations.
Create customized event proposals, menus, timelines, and layouts based on client needs.
Manage event bookings, contracts, guarantees, billing, and post-event follow-up.

Event Execution

Oversee all event-day operations to ensure seamless execution from setup to breakdown.
Coordinate with kitchen, bar, service, audiovisual, and facilities teams to ensure alignment on event requirements.
Maintain real-time communication with staff during events to ensure adjustments are made promptly.
Conduct pre-event briefings with the operations team.

Member Relations & Service Excellence

Build lasting relationships with members to encourage repeat business and increased engagement.
Provide exceptional hospitality and personalized service to members and their guests.
Act as an ambassador for the club’s brand, upholding its values and service standards.

Administrative & Financial Management

Maintain accurate event records, budget management, and financial reporting.
Track revenue, cost controls, and profitability of all private events.
Ensure timely and accurate invoicing and reconciliation of event charges.
Evaluate event performance and recommend improvements.

Collaboration & Leadership

Work closely with the Director of Events, Membership team, and department heads to support overall club programming.
Train and mentor event support staff as needed.
Participate in weekly operations meetings to provide updates, feedback, and insights.

Qualifications

Minimum 3–5 years of experience in event planning or hospitality management, preferably in luxury or private club environments.
Exceptional communication, organizational, and time-management skills.
Strong customer service mindset with the ability to anticipate guest needs.
Proficiency in event management software, POS systems, and Microsoft Office Suite.
Ability to work evenings, weekends, and holidays as required by event schedules.
Professional appearance, polished demeanor, and a high level of discretion.

Physical Requirements

Ability to stand and walk for extended periods during events.
Ability to lift up to 25 lbs occasionally.

Job Type: Full-time

Pay: From $70,000.00 per year
