This position requires the flexibility to work overtime, outside of traditional business hours, and travel as necessary.Responsibilities include:Conducts research, sources venues, makes site visits, makes recommendations, and finds resources to help hosts and team make decisions about location, themes, and vendors (virtual and in-person).Assists in the development of events proposals, summaries, and surveys, and prepares event elements and seeks appropriate approvals, including food & beverage planning, audio visual needs, set-up requirements, transportation, entertainment, decor, etc., to ensure all parties meet deadlines and stay within budget.Creates and maintains event-specific budget documents, including timely processing of all payments to venue(s) and/or vendor(s).Serves as point of contact with venues during contracting phases while liaising with firm counsel.Serves as point of contact with venues on all logistical elements for live events during planning, execution, and post-mortem stages including reporting on attendance, attrition, challenges, testimonials, and final budget.Provides logistical and project management support on virtual events, including setting up and hosting webinars, project timelines, reporting, testing, and creative elements for both marketing and business development events as well as internal events as requested.Coordinates with travel department as required, including rooming lists, ground transportation, etc.Performs event administrative duties, including maintaining event calendar, scheduling, tracking, registration/attendance reporting, invitations, signage, nametags, etc., and maintains detailed records for each event including attendance, expense, and budget information.Maintains and enhances working knowledge of in-person and virtual events trends, technologies in event execution, firm's industry and competitive positioning, best practices, and firm protocols.Experience and qualifications:Bachelor's degree and a minimum of 5 years of relevant professional event, meeting, or conference planning experience, preferably in-house in a law firm, professional services firm, or other corporate setting or at an external agency focusing on corporate events, meetings, and conferences.Strong planning and organizational skills and ability to work independently as well as manage projects and assignments to effectively prioritize and balance competing demands while adhering to deadlines.Ability to build and maintain relationships internally and externally and experience excelling in highly matrixed work environments working across multiple business units and functional teams.Excellent writing, communication, and presentation skills.Ability to act with a high degree of integrity and maintain confidentiality and superior reasoning skills and sound business judgment.Proficiency with the Microsoft Office suite; CVENT and OnArrival experience is desired.Benefits / Why Join UsMorgan Lewis offers attractive benefits and competitive salaries.
