Job Title: Sports Event Coordinator

Reports To: Technical Director

Employment Type: Full-Time

Position Summary

The Sports Event Coordinator is responsible for planning, organizing, and executing major annual sporting events and programs hosted by the Iowa West Sports Plex (IWSP). This individual will play a key leadership role in event logistics, facility scheduling, participant registration, staff coordination, marketing support, and customer experience.

The Sports Event Coordinator ensures all events operate efficiently, professionally, and in alignment with the mission of serving the local community while strengthening youth sports opportunities. The Sports Event Coordinator will serve as the lead administrator for the following core programs and events, as well as smaller day events throughout the calendar year:

Major Annual Events
• Rumble on the River Soccer Tournament (April)
• Summer Multi-Sports Camp (June–July)
• Annual Golf Fundraiser (August)
• Halloween Havoc Soccer Tournament (Fall)
• Indoor Winter Soccer League (November–February)

Additional Responsibilities & Events
• TOP Soccer Program (inclusive soccer program - 4 week series)
• Little Surfers (micro-soccer program - 6 week series)
• Winter / Spring Break Multi-Sports
• Coordination of smaller one-day/weekend events throughout the year as needed to fill IWSP facility space.

Key Responsibilities

Event Planning & Operations
• Develop comprehensive event timelines, oversee budgets, and execute detailed operational plans.
• Manage registration platforms, participant communication, and payment tracking to ensure accurate reporting and full compliance.
• Coordinate facility setup and breakdown, ensuring all equipment and spaces meet event standards.
• Maintain exceptional customer service standards for participants, families, officials, sponsors, and partners.

Winter League Administration (November–February)
• Schedule league weekends and coordinate field usage in collaboration with the IWSP Facility
• Coordinator.
• Partner with the marketing team to promote and advertise the Indoor Winter League.
• Find and register the required number teams to participate within the league
• Create and manage the master league schedule, including standings and any playoff structures.
• Recruit, schedule, and oversee referees.
• Collect and verify team rosters, waivers, and required documentation.
• Address coach and parent concerns professionally, ensuring timely resolution.
• Enforce league rules and policies consistently and fairly.
• Manage budget and ensure all teams pay in full.

Summer Camp Management (June–July)
• Schedule camp weeks and coordinate field and/or facility usage with the IWSP Facility Coordinator.
• Collaborate with the marketing team to promote and advertise camp programming.
• Manage camper registration and maintain consistent communication with families.
• Recruit, hire, and supervise camp staff.
• Ensure Camp lead create a comprehensive weekly curriculum
• Ensure a safe, structured, and engaging environment aligned with facility standards and youth development best practices.
• Manage budget and ensure all teams pay in full.

Soccer Tournaments (Fall & Spring)
• Schedule tournament weekends in coordination with outside field vendors and partners.
• Oversee all tournament operations, including referees, volunteers, staff, and game-day logistics.
• Work with the marketing team to drive team recruitment and event promotion.
• Create and manage the master tournament schedule, including bracket play and standings.
• Secure and coordinate outside vendors (e.g., athletic trainers, concessions, merchandise).
• Partner with Athlete One to coordinate lodging and accommodations for traveling teams.
• Ensure all teams complete registration requirements, including payment, rosters, waivers, and
• documentation prior to participation.
• Manage budget and ensure all teams pay in full.
• Collaborate with the CB parks & Rec for field contracts and CBVCB for hotel allocations.

Fundraising & Community Programs
• Assist in the planning and execution of the Annual Golf Fundraiser.
• Coordinate logistics, sponsorship tracking, donor communication, and participant registration.
• Support the continued development and growth of the TOP Soccer Program, ensuring inclusive access and community engagement.

Event Sponsorship & Grants
• Work with the marketing team to identify and secure sponsorships for each individual event.
• Apply and obtain grants for programming and events when available.

Work Schedule & Hours
• This is a full-time position averaging 40 hours per week, structured with flexibility based on the
• seasonal event calendar.
• The Sports Event Coordinator will maintain set weekly office hours (as determined by the Technical Director) to ensure availability for staff collaboration, planning meetings, and customer support.
• Hours will be divided between administrative office responsibilities and on-site event management. The ratio of office to event hours will vary throughout the year depending on the programming and event calendar.
• During peak seasons or the execution of major events, extended or non-traditional hours, including evenings and weekends, will be required.
• Schedule flexibility is essential, with the understanding that event-based responsibilities take priority during active programming periods and may require occasional unsocial hours.

Required Qualifications
• Bachelor’s degree in Sports Management, Recreation Administration, Business, or related field.
• Minimum 2–3 years of experience in sports event management, league administration, or facility
• operations.
• Budget management experience.
• Strong organizational and time management skills.
• Excellent written and verbal communication skills.
• Ability to manage multiple events simultaneously.
• Proficiency in registration software, Microsoft Office, and scheduling platforms.
• Ability to work evenings, weekends, and extended hours during peak seasons.
• CPR/First Aid certification (or willingness to obtain).
