Venue & Event Operations Coordinator – Part Time

Annabella at Cedar Glen | Huntsville/Madison County, Alabama

Pay: $18–$22/hour, depending on experience

Annabella at Cedar Glen is looking for a dependable, organized, hands-on person to join our team as a Venue & Event Operations Coordinator.

This is not a desk job, and it is not a position where you simply show up and direct a wedding ceremony. Our coordinators are involved in everything it takes to keep a busy wedding venue running well, from preparing and cleaning the venue to greeting vendors, assisting with ceremonies, monitoring event timelines, helping guests, and making sure the property is ready for the next event.

The right person will begin by working alongside our experienced team and learning how we operate. Over time, we want this person to develop the knowledge and confidence to take greater responsibility for events, including independently managing weddings and serving as a primary representative of the venue.

What You’ll Do

Responsibilities vary depending on the day’s events and may include:

Prepare and reset the venue before events, including cleaning and housekeeping dutiesGreet vendors and help ensure they know where to go and when they can begin setupAssist with wedding rehearsals and ceremoniesHelp coordinate the wedding party, vendors and event timelineMonitor events throughout the day and address issues as they ariseCommunicate with couples, families, guests and vendors in a professional and friendly mannerAssist with cleanup and closing the venue following eventsHelp prepare the venue for upcoming weddings and eventsSupport our tea room on non-wedding days, including food and tea preparation, serving guests, resetting tables and cleanupAs experience grows, assist with client planning meetings and venue toursEventually take responsibility for independently managing weddings and events

What We’re Looking For

Wedding experience is helpful, but it is not required.

We’re more interested in finding someone who is dependable, capable and comfortable taking responsibility. You may be a great fit if you have experience in hospitality, restaurants, hotels, catering, education, customer service, event management or another environment where you have had to manage people, schedules and unexpected situations.

You should be someone who:

Is extremely dependable and punctualNotices what needs to be done and does it without waiting to be askedCan remain calm when several things are happening at onceCommunicates comfortably with many different personalitiesIs organized and able to keep track of details and timelinesIs comfortable making decisions and solving problemsDoesn’t mind jumping between very different kinds of work during the same shiftIs willing to clean, carry, straighten, reset and otherwise do the physical work required to keep a venue operatingTakes pride in creating a great experience for guestsWants to learn and is interested in taking on greater responsibility over time

Schedule

This position averages approximately 20–25 hours per week, although hours will vary based on our event schedule.

Most hours are Friday, Saturday and Sunday. A busy weekend with three weddings may include approximately 24 hours over those three days. Weekends without weddings may instead include one or two weekday shifts preparing the venue, assisting in the tea room or completing other operational work.

Additional hours may occasionally be available for planning meetings, venue tours and other events.

Weekend availability is an essential part of this position.

Physical Requirements

This is an active position. Applicants must be comfortable being on their feet for extended periods and performing routine venue setup, cleaning and housekeeping duties.

Opportunity to Grow

We’re not looking for someone who wants to remain an assistant forever.

Our goal is to train the right person to become increasingly independent, eventually developing the ability to manage weddings and events with limited oversight, participate in planning meetings and tours, and take on a larger role in venue operations.

If you enjoy hospitality, like making things run smoothly, don’t panic when plans change, and prefer a job where every day is a little different, we’d like to hear from you.
