Accounts Coordinator – Events By Design In this role, you will work closely with the HR/Accounting team to manage and maintain accurate financial records, vendor transactions, and internal reporting. Your responsibilities will include (but are not limited to): • Processing, coding, and tracking vendor invoices across all internal brands • Coordinating payments via ACH, checks, and credit cards • Generating client invoices and handling vendor bills and reimbursements • Recording and reconciling financial transactions (A/P, A/R, and general ledger entries) • Monitoring vendor accounts and resolving any payment discrepancies • Onboarding new vendors (collecting W-9s, contracts, and insurance documents) • Organizing and maintaining financial and vendor records • Performing monthly bank and credit card reconciliations • Reconciling team expense reports, credit card usage, and receipts • Collaborating with producers and project managers to track budgets and event spending • Assisting with the preparation of internal financial reports and summaries • Identifying and suggesting improvements to accounting workflows and systems • Ensuring compliance with internal accounting procedures and financial controls • Providing administrative support to the finance and operations teams
