Established in 1959 as the charitable arm of the Television Academy, the Television Academy Foundation is dedicated to preserving the legacy of television while educating and inspiring those who will shape its future. This is a full-time, non-exempt position based in North Hollywood, reporting to the Senior Vice President of Event Production. The Event Production Coordinator will report to the Senior Vice President of Event Production and play a key role in supporting the planning and execution of a wide range of Academy events. Duties and Responsibilities • Support administrative functions for the SVP, Event Production including calendar management, vendor communications, expense reports, and inventory management of swag and sponsor product • Coordinate with various vendors regarding event logistics • Manage RSVP lists & monitor Events email • Track design requests and other event marketing related needs • Manage VIP lists, VIP seating, parking, signage and green room needs • Communicate and confirm details with registration staff and assist with event check-in • Coordinate scheduling of production meetings • Print and distribute materials for production meetings • Communicate event needs to the Academy Facilities team • Assist with the booking process for Academy and third-party events • Upload event RSVP lists to the iPads and prep for registration • Assist with event reconciliation including but not limited to invoice tracking, budget updating, and all functions associated with event close out • Provide support as needed for all other Academy events and shows • Assist in securing films for the Academy Screening Room program Minimum Requirements • Minimum 2-3 years of related experience • Excellent communication skills and a strong ability to work with various teams of vendors and or internal departmental teams • Ability to establish relationships and able to follow through on commitments • Ability to think strategically, conceptually, and creatively • Basic understanding of developing budgets and production timelines • Computer proficient, including Excel, Word, PowerPoint • Strong customer service skills and focus • Must be available to work nights and weekends • This position is based in LA and requires being in the Television Academy offices, minimum 3 days a week but often more if needed for events
