Supervises and facilitates various City events through the Event Center, and coordination of events at the Sylvan Center. Examples of duties include: planning, coordinating, and implementing large community events; managing City events and facility uses; coordinating outside service needs with catering concessionaires, security, and other service providers; issuing instructions to technical and maintenance personnel to assure that all necessary equipment and services are scheduled and in order; monitoring events in progress; demonstrating political acumen by representing the City professionally at all times; coordinating community education activities related to the City; promoting and providing tours of City facilities as needed; fostering public understanding of City goals, policies, programs, and services; assisting members of the management team regarding issues of concern related to communication of City matters with the public, as requested; coordinating, reviewing, editing, monitoring and assisting with the planning of publications and distribution of City information; rewriting and editing copy to improve readability; planning, obtaining information, editing, and layout, advertisements, flyers, brochures, social media and other materials associated with city events and/or the marketing of the Event Center; coordinating production and overseeing distribution; attending regional and/or state conferences and trainings relative to community event organizing and facility management; receiving requests from the media and forwarding to appropriate department; maintaining event records and preparing related reports and correspondence; assisting with program budget preparation related to City events; obtaining bids and proposals; monitoring expenditures; reconciling bills; building and maintaining positive working relationships with co-workers, other City employees and the public using principles of good customer service; overseeing the work of staff developing event/facility cost estimates, invoices and manages payment of all event services, including facility rentals; tracking and maintaining operating costs and revenues related to use of the Event Center and Sylvan Center; making recommendations on rental fee schedules and updates; greeting the public, answering questions, or directing them to appropriate office personnel as necessary; overseeing the work of staff who ensures vendors meet all insurance requirements, permit/rental agreements are followed, and coordinates appropriate staff to assist with the event/facility use; recommending the appointment of personnel; providing or coordinating staff training and conducting performance evaluations; planning, supervising and coordinating construction, repair, and building maintenance/cleaning of City's Event Center; obtaining bids and proposals, consistent with the City's purchasing policy and public works contracting code; developing and maintaining an equipment maintenance, depreciation and replacement schedule; monitoring changes in laws, regulations and technology that may affect maintenance and operations; performing related duties as assigned. Establish and maintain effective working relationships with those contacted in the course of work. Use principles of effective office safety including use of equipment in a proper and safe manner, use of preventative personal ergonomic techniques, and maintenance of safe housekeeping in personal and common workspaces. Coursework from an accredited college, vocational training school, certification program or military training program in facilities, maintenance, event planning, or other area or field closely related to the intent of the class may be substituted for up to two years of the required experience on the basis of 2.5 semester units (3.75 quarter units) are equal to one month of experience.
