We are seeking an enthusiastic and detail-oriented Event Coordination Specialist to join our dynamic team dedicated to delivering high-quality international events in the pharmaceutical industry. Job Purpose: The Event Coordination Specialist will oversee all aspects of meeting logistics, ensuring meticulously planned and compliant execution for internal and external stakeholders. The role includes thorough planning, management, and post-event evaluations, with occasional domestic and international travel.
Key Accountabilities:
Deep understanding of service offerings and departmental processes.Ability to work independently within a team to ensure accurate project performance.Participation in project planning meetings with clients and internal teams.Stay updated on industry knowledge, SOPs, HCP compliance, and suppliers.Identify high-quality venues worldwide for meetings.Manage virtual meeting platforms effectively.Build and maintain strong relationships with clients, proactively managing expectations.Handle changes in project scope efficiently.Deliver status updates to clients and address operational issues proactively.Facilitate communication among colleagues and resolve conflicts.Ensure high-quality execution of meetings and manage on-site delivery.Provide expert quality control complying with pharmaceutical guidelines.Finance Management:
Obtain detailed project scoping information for every assignment.Ensure budget accuracy and manage budget revisions and reconciliations.Monitor financial compliance procedures and manage timely payments.Metrics for Success:
