The Event Coordinator position within the Alumni Relations and Engagement team at WFAA offers a dynamic, integrative role focused on planning and executing a variety of constituent engagement activities. This full-time hybrid role requires in-person presence in the Madison, WI office at least twice weekly and involves supporting virtual, in-person, and hybrid events that align with WFAA’s mission. The Event Coordinator collaborates closely with UW-Madison colleagues and internal teams including program, operations, marketing, and registration to deliver high-quality, memorable events that inspire alumni, donors, and friends to further engage with the university. This role requires thorough client needs assessment, creative problem solving, and application of current best practices to ensure successful event outcomes.

Key responsibilities include overseeing all event logistics under the supervision of the Senior Event Manager, serving as liaison with venues and vendors, managing event budgets, and providing on-site event support to ensure seamless execution. The Event Coordinator is accountable for the entire event lifecycle from ideation to completion and must possess exceptional organizational and communication skills to navigate complex engagements confidently. Additionally, this role demands a strong familiarity with event technology platforms, including virtual event production and troubleshooting to enhance the overall event experience.

The position is ideal for a professional experienced in event coordination within the nonprofit or fundraising sector, bringing at least one year of event planning experience and a flexible schedule that accommodates evenings, weekends, and holidays. The successful candidate will demonstrate a high level of professionalism, tact, and diplomacy, enabling them to manage diverse client and stakeholder relationships effectively.
