Location: Redwood City, California (Onsite)

Role Overview

The Event Coordinator supports the execution and delivery of meetings and events in partnership with Event Specialists and Planners. This role is execution-focused, with ownership of event coverage, registration desk support, materials preparation, and post-event wrap-up. The position is full-time and based in the San Francisco Bay Area, requiring domestic travel and flexibility for evenings and occasional weekends.

Key Responsibilities

Support preparation and printing of meeting materials, including signage and agendas.Manage shipping logistics to and from event locations for all off-site convenings.Print and manage attendee badges.Provide front-of-house and on-site support during in-person meetings and events.Attend and support all off-site meetings and partner convenings.Serve as an on-site point of contact for meeting participants and external vendors.Track, manage, and organize meeting-related supplies and inventory.Partner with the Event Specialist through staggered schedules to ensure full meeting-day coverage.Provide ad hoc execution and logistical support to the event team as needed.

Required Qualifications

0–2 years of professional experience in a fast‑paced, service‑oriented, or administrative role.Strong verbal and written communication skills, with the ability to interact confidently with attendees, vendors, and internal partners.High level of reliability, responsiveness, and willingness to jump in and support tasks on short notice.Comfort working on-site in dynamic, attendee-facing environments and handling time‑sensitive responsibilities with attention to detail.Demonstrated ability to work independently while contributing effectively to a collaborative team.Genuine interest in building a career in corporate events and learning event logistics, on‑site operations, and production workflows.Willingness to travel for domestic meetings and work evenings or occasional weekends as needed.

Preferred Qualifications

Experience with event platforms.Experience with A/V support.Experience with inventory systems.

Pay Range: $35-43 hourly
