About the Role
Allenberry is in the midst of an exciting transformation. We're restoring one of Pennsylvania's most iconic resorts while creating a destination centered on wellness, learning, creativity, outdoor recreation, and meaningful human connection. From executive retreats and leadership programs to weddings, family celebrations, corporate gatherings, and special events, our goal is simple: create experiences that leave people better than they arrived.
We're looking for an experienced Event Coordinator to become the organizational center of our event operation.
This is much more than an administrative position. You'll take the details of a booked event and bring them together into a clear, coordinated plan — making sure our clients, event leads, and departments across the resort know what needs to happen and when.
Working under the direction of our Director of Restaurant and Event Operations and closely with our Director of Group Sales, you'll coordinate events from the sales handoff through execution. You'll work across food & beverage, lodging, guest services, facilities, spa, activities, and other areas of the resort to make sure nothing falls through the cracks.
We're specifically looking for someone who brings meaningful event experience. We want you to bring what you've learned elsewhere to Allenberry and help us continue improving how we plan and execute exceptional events.
What You'll Do
Serve as the central coordinator for events from the sales handoff through execution.Work closely with clients throughout the planning process to gather details, answer questions, and keep planning on schedule.Develop and maintain banquet event orders, event timelines, floor plans, room setups, guest counts, vendor information, and other critical event details.Translate what has been promised to the client into a clear operational plan for the Allenberry team.Coordinate event details across food & beverage, lodging, guest services, facilities, spa, activities, and other resort departments.Coordinate and provide day-to-day direction to event leads, making sure they understand the event plan and expectations.Help determine event staffing needs and coordinate schedules and assignments with resort leadership.Conduct pre-event meetings and communicate changes to everyone involved.Coordinate outside vendors, entertainment, transportation, rentals, AV, décor, and other event partners.Monitor event setups and execution and help resolve issues as they arise.Anticipate potential problems before they become guest-facing issues.Maintain accurate event information and ensure changes are communicated quickly and clearly.Assist with post-event reviews and identify opportunities to improve future events.Help develop and continuously improve Allenberry's event checklists, templates, standards, systems, and operating procedures.Provide warm, responsive, and professional communication to clients throughout their experience with Allenberry.
Who You Are
You love bringing order to complexity.You can look at an event with dozens of moving pieces and understand what needs to happen, who needs to know about it, and what details still need attention.You're highly organized, but you're also a hospitality person. You understand that a BEO, timeline, or checklist isn't the end product — an exceptional guest experience is.You're comfortable providing direction to others while also working collaboratively with department leaders. You don't wait for someone to point out every problem. You anticipate what needs to happen next, follow through, and make sure details don't get lost.Most importantly, you take ownership of your work. When you're coordinating an event, you feel personally responsible for making sure everyone is prepared to deliver it successfully.
Required
Professional experience planning and executing weddings, meetings, retreats, banquets, conferences, or other significant events.Strong organizational skills and exceptional attention to detail.Experience coordinating multiple departments, vendors, team members, or other moving pieces.Excellent written and verbal communication skills.The confidence to provide clear direction to event leads and event staff.The ability to manage multiple events and priorities simultaneously.Strong judgment and problem-solving skills, particularly when plans change.The ability to learn and effectively use event management and hospitality technology.Availability to work evenings, weekends, and holidays when events require it.A proactive rather than reactive mindset.A belief that hospitality is about serving people with excellence.
Preferred
3+ years of professional event experience in a resort, hotel, conference center, country club, wedding venue, catering operation, or similar hospitality environment.Experience coordinating weddings and multi-day corporate or group events.Experience working with banquet event orders and event timelines.Experience coordinating banquet or event teams.Experience with event management, CRM, property management, or related hospitality systems.
