Event Operations & Athlete Experience Coordinator

Special Teams University is looking for an experienced, organized, and proactive Event Operations & Athlete Experience Coordinator to help oversee the planning and execution of elite long snapping events, including our Pro Prep Camp and Combine Training experiences.

This role is designed for someone who thrives in fast paced environments, enjoys creating premium athlete experiences, solves problems quickly, and understands how high level football events operate behind the scenes.

The goal of this role is simple: allow the coaching staff to focus fully on coaching while ensuring the event runs professionally, efficiently, and at a high standard from start to finish.

Primary Responsibilities

Event Planning & Operations

Secure and coordinate field/facility rentals

Work with hotels to negotiate discounted room blocks and partnership kickbacks

Coordinate nearby food options and athlete meal recommendations

Assist in acquiring event insurance and required operational documents

Work with local tourism departments and sports commissions to pursue event funding and partnerships

Coordinate transportation and local logistics when needed

Build and manage event schedules, timelines, and operational checklists

Help improve overall event structure, flow, and athlete experience

Sponsorship & Partnerships

Identify and pursue event sponsorship opportunities

Help coordinate sponsor relationships and deliverables

Work with local businesses and partners to enhance the event experience

Assist with merchandise and gear sales during events

Media & Content Coordination

Coordinate with videographers and media teams to ensure important moments are captured

Help facilitate social media and promotional opportunities during events

Assist in acquiring local media coverage and publicity opportunities

Ensure coaches, athletes, sponsors, and featured guests are positioned appropriately for content opportunities

Athlete Experience

Help athletes navigate schedules, expectations, and event flow

Assist athletes with roommate coordination when requested

Ensure athletes are wearing proper gear and are where they need to be throughout the event

Help create a professional, organized, and welcoming environment

Assist with downtime planning and athlete engagement activities

Day-Of Event Management

Oversee event setup and breakdown

Delegate responsibilities to coaches, volunteers, and event staff

Troubleshoot issues quickly and professionally

Ensure guest coaches are engaged, visible, and helping athletes throughout the event

Maintain overall organization and flow of the event

Anticipate problems before they arise and help keep the event running smoothly

Ideal Candidate

Experience in football, sports operations, camps, combines, or event management preferred

Comfortable managing multiple moving parts in fast paced environments

Role Structure & Expectations

This is a behind-the-scenes event operations role focused on logistics, organization, partnerships, athlete experience, and overall event execution.

This position is not a coaching role within Special Teams University. The individual hired for this role will not be presented, marketed, or represented as a Special Teams University coach or instructor.

All athlete development, technical instruction, and on-field coaching will remain the responsibility of the Special Teams University coaching staff.

The purpose of this role is to support and elevate the event experience by handling operational responsibilities, improving organization, assisting with logistics, and helping the coaching staff operate efficiently throughout the event.

This role is intended for someone who takes pride in facilitating elite events from behind the scenes and understands the importance of professionalism, discretion, organization, and athlete experience.

Compensation Structure

Compensation for this role will be structured as a combination of guaranteed event pay and performance-based commission opportunities.

Guaranteed Event Compensation

$3,000-$5,000 guaranteed compensation per major event depending on scope, workload, and responsibilities

All approved travel and lodging expenses covered by Special Teams University.

Commission Opportunities

The Event Operations & Athlete Experience Coordinator will also have the opportunity to earn additional commission compensation through partnerships and operational initiatives directly coordinated through their efforts.

Commission opportunities include:

10% of sponsorship revenue secured

10% of hotel partnership/kickback revenue secured

10% of tourism department funding or event grants secured.

This structure is designed to reward initiative, relationship building, operational excellence, and the continued elevation of the overall event experience.

Athlete attendance and camp registrations are not tied to compensation for this role, as athlete acquisition and coaching operations remain under the direction of Special Teams University.
