Tohono Chul is a 49-acre public garden in Tucson, Arizona whose mission is to enrich people’s lives by connecting them with the wonders of nature, art, and culture in the Sonoran Desert region and to inspire wise stewardship of the natural world. Reporting to the Events Manager, this full-time position plays a key role in preparing event spaces by setting up and breaking down event furniture, arranging décor and signage, and setting up basic AV equipment. Primary Responsibilities • Set up and break down event spaces, including furniture, décor, signage, and equipment • Maintain frequent and proactive communication with the Events Team and Manager regarding the status of event spaces, vendor arrivals, setup progress, and any emerging needs or concerns • Support administration coordination such as data entry, vendor communication, and other tasks as needed • Operate and assist with basic audiovisual setup, including microphones, speakers, projectors, and extension cords • Work outdoors in all weather conditions, including heat and rain, to prepare and maintain event areas • Lift, carry, and transport tables, chairs, bins, and other heavy materials as needed (up to 50+ lbs) • Maintain organized, clean, and well-stocked event supply and storage areas • Maintain the Events Team golf cart, including battery upkeep and routine cleaning • Support internal meetings food and beverage display and cleanup • Serve as on-site support during events, including guest check-in, ticketing, and vendor coordination • Assist with administrative tasks such as printing signage, preparing event forms, and basic data entry • Communicate professionally and courteously with guests, clients, and vendors • Learn and follow safety procedures related to working in a desert environment, including basic snake relocation training • Perform other duties as assigned to support the success of the Events Team and organization Qualifications • High school diploma or equivalent • Ability to perform physically demanding work including heavy lifting (50+ lbs), frequent movement, and extended periods of standing or walking • Comfortable working outdoors in all weather conditions, including heat, rain, and uneven terrain • Familiarity with basic audiovisual equipment setup, such as microphones, speakers, and projectors • Ability to read and interpret event forms, site maps, and setup schematics • Basic proficiency with Microsoft Office programs including Word, Excel, and Outlook • Strong attention to detail, especially in visual presentation and event setup • Reliable, punctual, and able to manage time effectively in a fast-paced environment • Friendly and professional interpersonal skills with the ability to interact with guests, clients, and team members in a courteous and helpful manner • Ability to follow instructions, take initiative, and work independently as well as part of a team • Willingness to learn organizational safety protocols, including desert wildlife awareness and basic snake relocation procedures • Comfortable using a two-way radio for frequent, clear communication with the Events Team and other staff • Availability to work a Thursday through Monday schedule, with flexibility to work evenings, holidays, and other days as needed in support of events • Previous experience in event setup, hospitality, catering, or facility operations • Familiarity with event coordination in a museum, cultural site, or outdoor venue • Experience interacting with guests or clients in a customer service or support role • Understanding of safe handling and care of event furniture, supplies, and AV equipment • Experience working or volunteering in desert or nature-based settings Please note this job description is not designed to cover or contain a comprehensive listing of activities, duties, or responsibilities required of the employee for this job.
