We are looking for an experienced Events Coordinator to join our team in Madison, Wisconsin. In this role, you will play a key part in organizing and executing events. This is a contract position where you will collaborate across departments to deliver impactful events while managing logistics and budgets effectively.Responsibilities:• Plan and implement events that support the organization’s strategic fundraising priorities and community engagement goals.• Work closely with leadership, fundraising staff, and other team members to coordinate hosted events involving board members, donors, volunteers, and special guests.• Facilitate collaboration across departments to ensure event-related needs such as attendance, IT support, and speaking engagements are met.• Assist in the planning of major events such as milestone anniversaries and national celebrations.• Develop detailed event timelines and logistics documentation to ensure smooth execution.• Monitor and manage event budgets to track expenses and maintain financial accountability.• Oversee RSVP tracking and attendance lists to ensure accurate guest management.• Coordinate post-event activities such as thank-you notes, follow-up communications, and debrief meetings.• Partner with the marketing and communications team to create promotional materials including invitations, flyers, and programs.• Recruit and organize staff support to ensure successful execution of cultivation and stewardship events.
