Evermore Hall, on the top floor of the historic Ilium Building in Troy, NY, is a wedding and event venue where soaring ceilings, exposed brick and beams, and views of the Hudson River set the stage for refined celebrations. Beneath it sits Ilium Bar & Brewing, which runs bar service for every event upstairs and hosts a growing program of private and in-house events of its own.

We are seeking an Events Coordinator to report to our Venue Manager and own everything that touches bar service at Evermore Hall, while running private events downstairs at Ilium Bar. This is a hands-on role for someone who has stood on both sides of the pass: they have run events from the BEO to the last call, and they have worked behind or alongside a bar team closely enough to speak its language. The right candidate is the Evermore Hall team's bar-side point of contact: the person our team meets with to plan bar service for every wedding and event, who runs tastings and menu selection with our clients, and who is on the floor when the bar opens.

Reports to: Venue Manager

Works closely with: Ilium bar manager and captains, Marketing Manager, venue porters

Schedule: Full time. Nights, weekends and occasional holidays are the job, not the exception.

The three pillars of the role

1. Bar service for Evermore Hall events

Serve as the Evermore Hall team's single point of contact for everything bar-related, and lead the bar planning conversation for every wedding and event on the fifth floorRun tastings and menu selection with clients: signature cocktails, wine and beer lists, package choicesOwn the bar portion of every BEO in Perfect Venue: packages, counts, timing, staffing and setup, and hand it to the bar captainCoordinate bar staffing and setup with the Ilium bar manager and captains, and be on site to run bar service during eventsClose out the bar after each event: consumption, settlement and client follow-upResolve anything that touches bar service on the day; it stops with you2. Private events at Ilium Bar

Sell, price and book private events in the barBuild proposals and BEOs: food and drink packages, minimums, deposits, tokensHandle all pre-event prep: run of show, staffing requests, setup, vendor coordinationBe on site to run each event end to end, then close it out (settlement, feedback, follow-up)3. Ilium Bar in-house events program (phased in)

Over time, take ownership of Ilium Bar's in-house events calendar (ticketed nights, tastings, seasonal and holiday programming, the New Year's Eve event)Decide with the Venue Manager and bar leadership which concepts are worth running, and price themWork with the Marketing Manager to promote each event across Evermore and Ilium channelsTrack ticket and package sales and report what workedWhat we are looking for

3+ years of events experience in a venue, restaurant, hotel or catering setting, with hands-on BEO ownershipReal bar experience: behind the bar, as a bar manager, or as an events lead who ran bar service. You know pour costs, package structures, TIPS-level service standards and how a bar team moves on a busy nightFluent in the lingo: BEO, run of show, F&B minimums, load-in, turn times, consumption vs. package barComfortable selling. You can tour a client, price an event and close itCalm under pressure and gracious with clients, planners and vendors alikeProficient in Google Workspace; experience with Perfect Venue and Prismm preferredFlexible schedule for nights, weekends and holidaysCompensation

$50,000 to $55,000 base salary, depending on experience, plus 1 percent commission on private events sold.
