Freelance Wedding Coordinator

Overview

Join the Love Letter Weddings team as a Freelance Wedding Coordinator, assisting with day-of event production. You’ll be part of a hardworking crew that thrives on managing the details, solving problems, and ensuring each event runs seamlessly. Responsibilities include loading and unloading vehicles, setting up décor, guiding guests, coordinating with vendors, prepping supplies, and assisting in cleanup. Whether you’re an experienced event coordinator or just starting out, we welcome enthusiastic team players eager to learn on the job. Our team is well-regarded by vendors for being friendly, helpful, and professional while maintaining a positive, can-do attitude throughout every event.

This is a flexible, freelance position where you can sign up for shifts based on your availability. We typically have 2-3 weddings per month, with more opportunities during peak wedding season.

Key Responsibilities

Transport décor and supplies to the venue when needed
Unload and organize vehicles, décor, and supplies
Assemble and set up various décor elements (stands, easels, signage, etc.)
Style décor to enhance the overall wedding aesthetic
Greet and guide guests throughout the event
Assist with managing the wedding party and keeping everyone on schedule
Clean up and organize supplies and décor post-event
Support the lead coordinator with various tasks and problem-solving
Communicate efficiently with all vendors and assist servers/bartenders as needed

Requirements

Located on the island of Oahu, Hawaii
Reliable transportation to and from event locations
Ability to lift at least 50 lbs
Comfortable standing and being on your feet for extended periods of time
