Houston Event Planning is seeking a highly organized and enthusiastic Full-Time Event Assistant (start immediately) to support the planning and execution of various events, including corporate functions, weddings, holiday, and private parties. The ideal candidate will work closely with the event team to ensure every detail is executed flawlessly and client expectations are exceeded.
Hours M-F 10 a.m. to 5:00 p.m. and Saturdays 10:00 a.m. - 4:00 p.m. as well as some evening hours during weekday and weekend events. Must be flexible to work during events on nights and weekends.
Assistant Event Planner Key Responsibilities:
Assist in the planning, coordination, and execution of events from start to finish
Handle administrative tasks such as contracts, invoices, and reports
Assist with event setup, breakdown, and on-site coordination
Support event sales & operations such as venue tours, lead inquiries, follow-ups, decor design, food and drink preparations
Promote and execute marketing strategies that turn leads into clients
Research and negotiate with vendors (caterers, venues, decorators, etc.)
Manage event calendars, schedules, ROS, and checklists
Prepare and organize event & marketing materials (e.g., signages, catering/bar menus, & agendas)
Coordinate logistics for transportation, staffing, and vendor services
Provide exceptional customer service to clients and attendees
Additional Duties will include:
Greet clients, vendors, and guests in a warm and professional manner
Answer and direct phone calls and emails promptly and courteously
Schedule appointments, meetings, and consultations for the planning team
Assist with basic administrative tasks such as filing, data entry, and mail handling
Assist during onsite and offsite events as needed
Requirements:
Obtain TABC and Food Handler certification within 30 days of employment
Excellent organizational and creative abilities
Strong interpersonal and communication skills
Proficient in Microsoft Office and Google and other platforms such as Canva
Ability to lift up to 50lbs and stand for extended periods.
Have reliable transportation or your own vehicle.
Ability to work flexible hours, including evenings and weekends
Ability to remain calm under pressure and solve problems quickly
Preferred Qualifications:
Experience working in an event planning, hospitality, or customer service environment preferred
Bilingual skills are a plus
Experience with social media promotions and marketing
Working Conditions:
Office and on-site and off-site event settings (indoors and outdoors)
Requires standing and lifting during event setup
Pay: $12.00 - $13.00 per hour
