The Coordinator works in support of the Manager to execute all meetings and events for the foundation and our partners with the highest level of customer service in mind. The position is on‑site, five days a week, in our Dallas office. What you’ll doDevelop an understanding of CFT and its constituents to appropriately prioritize events supportOversee the maintenance of an accurate and up‑to‑date calendar of meetings and events and communicate the information both internally and externally as appropriateWork with departments and external constituents as needed to identify needs and manage arrangements for meetings, including supplies, food/beverage, room set‑ups and breakdowns, audio‑visual/IT requirements, decoration, and clean‑up supervisionExecute food, beverage, and linen set‑upsBe available and willing to work flexible and additional hours as needed; work hours may require some evenings and/or early morningsFollow appropriate policies and procedures for both internal and external meetings and events held by CFT and outside organizationsOther duties as assignedWhat success looks likeMaintaining a current, accurate calendar of meetings and events, and communicating updates clearly both internally and externallyDemonstrating excellent written and oral communication skills and being available for flexible hours as neededDelivering adaptability, flexibility, and initiative, and working independently while upholding high standards and meeting deadlinesManaging time and resources wisely, with meticulous attention to detail and prioritization of tasksExperience you bringSome practical experience in planning and implementing eventsExperience working with scheduling and managing meetings and/or similar functionsComputer software skills, including MS Office SuiteCustomer oriented, anticipating and responding proactively to the needs and concerns of othersAbility to self‑start, work independently, and achieve high standards to meet deadlines and expectationsAbility to be flexible, adaptable, and work collaboratively under deadline pressureMaintain professionalism during stressful situations and be able to continue to provide a high level of customer service in a calm mannerSelf‑motivated, able to take initiative, and work independently with minimal directionOrganizes and prioritizes work, using time and resources wisely with a high degree of attention to detailExcellent written and oral communication skillsBe available and willing to work flexible and additional hours as needed; work hours may require some evenings and/or early morningsThis position is located in the Dallas office with limited travel as necessaryWhile performing the functions of this job, the employee is occasionally required to lift, carry (up to 25 pounds), stoop, bend, climb, crawl, push, pull or perform other physical activitiesEffectively model and demonstrate CFT’s core competencies which include Collaboration, Impact and Problem Solving, Integrity and Accountability, Learning, and Internal and External ServiceDisclaimerThe above sections contain representative examples of job duties that might be performed by employees assigned to this classification.
