Position Summary: We are seeking a highly organized, detail-oriented Operations & Event Administration Coordinator to support the administrative and logistical functions of our fast-paced meetings and events team. This role plays a critical part in ensuring smooth registration processes, accurate financial tracking, and efficient office operations. The ideal candidate is personable, proactive, and thrives in a dynamic, collaborative environment. Key Responsibilities: • Prepare and issue invoices for registration fees and related event services • Manage and maintain registration platforms (e.g., Cvent, Google Workspace tools, vFairs, and similar systems) • Process client and internal reimbursements in a timely and accurate manner • Track and manage flight and travel details for clients and internal staff • Maintain organized records and tracking spreadsheets for registrations, payments, and travel • Provide general office management support, including coordination of supplies, documentation, and administrative processes • Assist with additional event logistics and administrative tasks as needed Qualifications & Skills: • Highly organized with exceptional attention to detail • Strong written and verbal communication skills • Comfortable working with multiple systems and learning new platforms • Self-motivated, dependable, and able to manage multiple priorities • Friendly, bubbly personality with a positive, team-oriented attitude • Thrives in fast-moving, deadline-driven environments
