Planning and Admin Assistant

This role is primarily behind the scenes, with the opportunity to assist on-site at weddings throughout the summer. This is a temporary position from April through October, with potential opportunity for a longer-term role for the right candidate. Responsibilities • Manage weekly task assignments from the owner across multiple clients • Organize planning notes and maintain client files • Conduct vendor research and outreach • Track emails, follow-ups, and ongoing assignments • Set up systems and onboarding for new clients • Organize and track payments • Assist in creating detailed production plans for wedding weekends • Communicate wedding weekend logistics to assistant team members • Review and check event rental orders • Manage venue communications for two partner venues • Support general administrative and planning tasks as needed • Attend in-office meetings at least once per week • Assist on 5 to 7 weddings throughout the summer season Qualifications • Proven office or administrative experience • Strong clerical skills and understanding of office management procedures • Proficiency in Microsoft Office Suite and Google Workspace • Experience with Trello or other task management platforms • Excellent organizational and time management skills • Ability to prioritize and manage tasks across multiple projects simultaneously • Experience in weddings or events preferred • Design experience is a bonus • Strong written communication skills, proofreading ability, and professional email etiquette Pay: $25.00 - $30.00 per hour
