Role Description The Wedding and Events Coordinator is a part-time, on-site role based in Malvern, PA. This role involves overseeing the planning and execution of weddings and special events, including coordinating timelines, floor plans, and vendor logistics. The coordinator serves as a primary point of contact for clients, guiding them through event details, answering questions, and ensuring their preferences are reflected in the final setup. Day-to-day responsibilities include conducting site visits, managing event bookings and confirmations, preparing event materials, and supervising event-day operations such as setup, guest flow, and breakdown. The role also requires close collaboration with the venue’s operations, culinary, and sales teams to deliver seamless, high-quality events.
Qualifications
Strong Event Planning and Event Management skills to coordinate multiple weddings and events from inquiry to completion.Excellent Communication and Customer Service skills to interact professionally with couples, families, vendors, and internal staff.Basic Sales abilities to support event inquiries, upsell venue services, and assist with proposals and contracts.Organizational and time-management skills, with attention to detail and the ability to handle several events and deadlines at once.Experience in event coordination, hospitality, or a related field; prior wedding coordination experience is preferred.Ability to work on-site, including evenings and weekends, and to stand and move around the venue for extended periods.Proficiency with email, calendars, and basic office software; familiarity with event management tools is a plus.High school diploma or equivalent required; additional education or certifications in hospitality or event management are beneficial.
