The Event Coordinator supports the planning and execution of Reinsurance events corporate meetings, conferences, client events, and leadership programs across the region. North America. Working closely with the Global Reinsurance Events Leader and Event Managers and Senior Event Managers, this role provides critical operational, administrative, and logistical support supports the development of colleague and client experiences throughout the event lifecycle across key events. This role offers the opportunity to further develop and build on a strong foundational skill set.
Key responsibilities include attendee management, registration administration, hotel and rooming list coordination, speaker travel arrangements, venue and restaurant research, vendor coordination, budget tracking, event technology support, and on-site event execution. The Event Coordinator serves as a central resource to ensure event details are organized, deadlines are met, and attendees, speakers, sponsors, and stakeholders have a seamless experience. When onsite, they act as an Aon Ambassador, assisting colleagues and clients with a positive, hospitality-oriented approach.

This position partners closely with Event Managers the Global Reinsurance Events Leader and Senior Event Managers to deliver exceptional event experiences and ensure operational excellence throughout the event lifecycle.
What The Day Will Look Like
Support multiple events simultaneously under the direction of Event Manager and Senior Event Manager Coordinate attendee registration and event communications through platforms such as Cvent and Eloqua Manage attendee lists, registration reportsing, rooming lists, dietary requirements, and travel logistics Coordinate hotel reservations and oversee room block management Arrange airfare, ground transportation, and accommodation for speakers, sponsors, and VIP guests Research and recommend venues, restaurants, offsite activities, transportation providers, and other event suppliers Assist with contract administration and vendor documentation Support event budgeting by tracking invoices, purchase orders, expenses, and reconciliation activities Coordinate event materials, gifts, name badges, signage, and shipping logistics Assist with mobile app content, registration websites, email communications, and attendee-facing materials Support audio visual, production, and meeting room logistics planning Prepare Act on run-of-show documents, staffing schedules, attendee lists, and operational checklists Provide on-site event support, including registration desk management, speaker assistance, room set-up oversight, pre and post-event set-up and attendee experience support Manage post-event follow-up activities including vendor invoice processing, distribution of surveys and registration list close-outreporting, surveys, and administrative closeout tasks Maintain accurate records and documentation in accordance with company policies and event governance requirements

Skills And Experience That Will Lead To Success
3+ years of experience in event planning, hospitality, meeting management, travel, marketing, or a related field Experience working with event management platforms such as Cvent preferred Strong organizational and project coordination skills Excellent written and verbal communication skills Proficiency in Microsoft Office, particularly Excel, Outlook, PowerPoint, and Teams Interest in AI-based technologies Ability to manage multiple priorities and deadlines simultaneously Strong attention to detail and customer-service mindset Comfort working with event logistics, attendee management, travel coordination, and reporting Ability to work collaboratively across teams and support senior stakeholders Willingness to travel and provide on-site event support Experience in professional services, financial services, hospitality, or corporate events preferred
Logistics
Remote, U.S.-based role Approximately 15-20% travel Events focused primarily on North America and Canada Travel typically consists of event set-up, on-site support, and post-event activitiesevent break-down over a 3-4 day period.

Pay Transparency Laws
The salary range for this position (intended for U.S. applicants) is $80,000 - $95,000 annually. The actual salary will vary based on applicant’s education, experience, skills, and abilities, as well as internal equity and alignment with market data. The salary may also be adjusted based on applicant’s geographic location.
The salary range reflected is based on a primary work location of Chicago, Illinois. The actual salary may vary for applicants in a different geographic location.
This position is eligible to participate in one of Aon’s annual incentive plans to receive an annual discretionary bonus in addition to base salary. The amount of any bonus varies and is subject to the terms and conditions of the applicable incentive plan.
